UK HealthCare EpicCare Link

ALL ECL Users: Effective June 12th all ECL users must log in to ECL using 2-Factor Authentication (2FA) via Email (preferred) or Mobile App. SMS Text message will no longer be an option for 2FA. Follow the attached steps to set your preference. Users can now use the Forgot Password button on the sign in page if they have set up Challenge Questions. If these are not set, the user must contact the Link Site Administrator for a password reset.

SIGN IN TIP: Your User ID is your former Link Blue ID (not linkblueID@uky.edu). You do not need to update your password, unless it is expired. If you do need to update your password please contact your Link Site Administrator to reset your password. If you're experiencing issues utilizing Duo Mobile as your Authenticator, delete "Third Party" and Re-Add it using the steps outlined here.

EpicCare Link Log In UK•MDS Contact Center EpicCare Link Access Request

UK HealthCare EpicCare Link is a secure web portal that connects you to information stored in UK HealthCare’s EHR for your referred and admitted patients. Requesting access is easy, and there’s no software or hardware to maintain. As an EpicCare Link user, you receive free, view-only access to important information about your patient’s care at UK HealthCare, including: discharge summaries, consult and operative reports, imaging, lab results, immunizations, medications and much more.

EpicCare Link is the preferred method to refer patients to our organization. The system also allows users to view patient upcoming appointments and referral status and communicate with UK HealthCare to help provide quality patient care.

The communication preference for all EpicCare Link providers is set to In Basket notifications. This means staff and providers will be notified via EpicCare Link for admissions, discharges, results, consultation notes and more! Users will have the latest information about their patient's treatment with no more missed faxes! If a provider prefers to change their default communication preference to fax, please contact your Physician Liaison or call 859-323-0736.

HIPAA-Protected Patient Health Information

  • All information provided through this portal is considered protected health information (PHI) and proprietary of UK HealthCare. All portal users are required to follow HIPAA rules and regulations.
  • Secure access to this portal is granted by UK HealthCare IT Security and may be revoked at any time. All portal users are assigned a unique access; those granted access must never share login identification and passwords with anyone. This includes providers sharing access information with their staff.
  • Portal use shall be limited to the medical records of the provider's patients. All accounts are monitored and assessed for non-job related access. Users’ access will be revoked for violations of this requirement. Organizations with a pattern of non-compliant users may have the access for their whole organization revoked.
  • Please also notify the Physician Liaison Program at 859-323-0736 or email Liz Robertson immediately if you suspect any abuse of user privileges.

EpicCare Link Access Request

EpicCare Link Access Request

Individuals at a facility with current UK HealthCare EpicCare Link access need to request access through their Link Site Administrator. The Link Site Administrator will need to log in to their EpicCare Link account and select Account Requests from the Admin tab. Please contact the Physician Liaison Program at 859-323-0736 if you need the name of your Link Site Administrator.

To set up a new practice with EpicCare Link, please follow the steps below.

  1. Start the application process by utilizing the EpicCare Link Access Request button or click here.
  2. Request access for a new site and complete all required information. 
  3. Request access for all the providers at your practice by completing a separate application for each provider. This allows patients to be connected back to your practice and users to submit referrals on their behalf.
  4. Request access for all staff who need to look up medical records and submit referrals. All users must have their own application and log in credentials. 
  5. Designate at least one person, no more than two, to serve as a Link Site Administrator by checking the box at the bottom of the application that states, “Make This User a Link Site Administrator”. Link Site Administrators are responsible for adding, removing and verifying users and should be someone who accesses the system regularly.
  6. Once a new user has been granted access the user will receive an email notification that their account has been created. The Link Site Administrator (LSA) who submitted the account request will see a Broadcast Message upon logging into EpicCare Link. This message will prompt the Site Administrator to setup a temporary password for the new user. The LSA should then share the login credentials with the new user. Upon first login, the user will be required to enter the temporary password and will be prompted to create a new, personalized password. Account Setup

All new users created after 6/12/25 will be emailed upon account creation. Users will need to contact their Link Site Administrator to receive their temporary passwords and User ID.

Log In Instructions

Once you have an activated your account, complete the following steps to log in to EpicCare Link.

  1. Click on the EpicCare Link Log In button at the top of this screen or click here.
  2. Enter your LinkBlue/ECL user ID and password and click Sign In. Please note that passwords expire every 90 days without notice and can be updated through your Settings tab once signed in to ECL. 
  3. Select either Email (preferred) or Mobile App for your 2-Factor Authentication. See attached steps for assistance and tips. Be sure to select Remember me for 30 days to bypass two-factor authentication for 30 days unless you use a different browser or clear cache.

Expired or Forgotten Password

Unable to Log in to Your Account?

Passwords expire automatically every 90 days without notification. If you have previously activated your account and are unable to log in, your password may have expired. Please contact your Link Site Administrator.

Refer a Patient

EpicCare Link is the preferred method for submitting referrals to UK HealthCare. It significantly expedites the referral process by going directly into the scheduling work queue and is less time-consuming and easier to submit.

If you do not have EpicCare Link access, please contact your Link Site Administrator at your location or request access. In order for staff to be able to submit referrals and for patients to be connected back your practice, each provider needs a completed EpicCare Link application even if they are not going to utilize the system. It takes up to three weeks for new user applications to be processed. 

In the interim, you can continue to use the web-based referral form located here or call UKMDs at 800-888-5533; however, the plan is to discontinue faxing and the web-based referral form once users are set up on EpicCare Link.
